Rotarians

Dedicated Rotarian volunteers have kept Youth Exchange vital for decades. Rotarians work behind the scenes to handle the logistics of each exchange. For long-term exchanges, the host club and district arranges school enrollment, tuition, and other educational matters.

Youth Exchange officers are the program’s leaders. Elected at the club and district levels, these volunteers are trained to serve as liaisons between students and the district Youth Exchange committee.

Roles and responsibilities

Rotarian volunteers have helped build Rotary Youth Exchange into the world-renowned program that it is today.

They work behind the scenes, taking care of the logistics that make the exchanges happen. Local Rotarians introduce students to other club members and organize social and cultural functions for them to attend. For long-term exchanges, host clubs and districts arrange secondary school enrollment, tuition, and other educational matters, and Rotarian counselors maintain contact with host families and students.

Though RI offers support to local Youth Exchange programs, clubs and districts run their exchanges independently of RI. Therefore, each program has its own rules for participants to follow.

All Youth Exchange volunteers are devoted to the safety of students, and host clubs and districts maintain policies and procedures to protect them. Read more about Rotary District 7680's commitment to youth safety.

Clubs’ responsibilities for successful exchanges:

1. Establish and maintain a committee of at least 2 or 3 Rotarians to recruit and stay in touch with host families, make arrangements for schooling, provide a Rotarian of the same gender as a counselor, and provide fair share of chaperones and transportation for exchange student activities in the district.

2. Comply with District 7680’s Youth Protection policy statement and procedures for operating the youth exchange program (consistent with Rotary International and US Department of State policies).  These requirements include written applications and background checks for committee members and host families, training, and maintenance of basic records.

3. Budget approximately $2,000 required to support each inbound student with a monthly stipend, mandatory orientation and group sessions in the district, and miscellaneous expenses.

4. Diligently recruit among Rotarians and throughout the community for young people who could benefit from the program and who would be good ambassadors.  Financing outbound exchanges—from $4,000 to $6,000—is the responsibility of the student and their family.

5. Include exchange students actively in the Family of Rotary by welcoming them at club meetings and community activities, and encouraging Rotarians to invite students into their homes, work places, etc.
